2015/2016 Schedule
Discussed how well the April Product & Energy Show was along with its financial report.
Discussion of our upcoming Golf Outing at the Halifax Country Club and how all foursomes sold out. Discussed who will be volunteering to help out at Halifax Country Club and that the current chair Bill Garvey will be stepping down after many years chairing the committee. Jim Liston will be head of the golf committee come June 1 with Erin Popa, Mike Gilroy and Andrew Krenning.
Discussed that Steve Rosen, Hall of Fame inductee, would be announced during the installation of offi cers’ event.
Discussed the Research Promotion (RP) chair Dan Diorio meeting his goal of $22,800.00 this year.
Discussed the Roster & Product Guide status, Product guide has been uploaded on chapter website.

Treasurer’s Update – Reviewed the Treasurer’s report and fi nancial standing for Main checking, Scholarship Checking and CD Account along with expenses and incomes.
Committee Chair Responsibilities – Chapter President, Stacie Suh, suggested that all Committee Chairs stay on top of their Presidential Award of Excellence points, all points are due in mid-July.
Membership Update – Membership numbers are at 1147 members strong, but we need to be on top of our members that
are delinquent with their membership.
YEA Update – YEA has a Thursday tour event coming up and 25 people have signed up, this tour will require you to bring those hard hats and safety gear.

Topics discussed include: the Boston Chapter Member Survey; POAE points for 2014-2015; research promotion; 2015 Boston Chapter Hall of Fame; speakers for the October meeting; Boston Chapter website redesign; the postponement of the 2015 Golf Outing.

2014/2015 Schedule
April‘s energy code training session was held at National Grid in Waltham, MA and drew 47 attendees. ASHRAE Boston will look into similar events in the future due to the impressive turnout. Night Shift Brewery, located in Everett, MA, previously approved by the BOG for an ASHRAE Tour has been postponed until May 19th. Be on the lookout for additional information and registration details! The Instillation of Officers (May Meeting) will take place on Tuesday May 12th, at the Bostonia Public House.

April‘s energy code training session, held at National Grid in Waltham, MA will take place as scheduled. As a result, no technical session will be offered in April. The training session will highlight mechanical sections of the code and take place from 2pm to 5pm on the night of the April meeting. Night Shift Brewery, located in Everett, MA, has been approved by the BOG for an ASHRAE tour. The tour will take place in late April. Be on the lookout for additional information!

Openings in the schedule and opportunities to improve the year’s schedule were discussed. Previous openings in the March and April tech sessions have been resolved. Approval from our joint meeting partners, AEE in March will allow a heat pipe technical session. In April, an energy code training session held at National Grid in Waltham, MA will take the place of a technical session. The training session will highlight mechanical sections of the code and take place from 2pm-5pm on the night of the April meeting. Plans are in the works for an April brewery tour at a local brewery.

Review of October Meeting Minutes
Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried forward once again.
One remaining item from October’s meeting minutes is a new location required for the Chapter’s historical items. A new location has not yet been determined and any ideas should be passed to an ASHRAE Boston Chapter Officer. Other pertinent items from the October Planning Meeting minutes were reviewed and the meeting minutes were approved.
2014/2015 Schedule
Openings in the schedule and opportunities to improve the year’s schedule were discussed. A Massachusetts Building Code training program is being considered for inclusion in this year’s schedule. Another Harpoon Brewery tour is being planned for April.

2014/2015 Budget- The budget for the 2014/2015 ASHRAE Boston Chapter was briefly presented but attendees requested formatting changes prior to final approval. The vote on the budget was delayed until December.
Sponsorship Program - Bob Persechini outlined a new sponsorship program aimed at recognizing companies committed to the ASHRAE Boston Chapter. Sponsors, at varying levels, will receive sponsorship packages throughout ASHRAE Boston events and in turn benefit Chapter Operations. More detailed information to come in the following months.
Meeting Registration Software - We are continually exploring options to improve the registration process for our monthly meetings, both for our members and our Attendance chairs. Dan Carrington and Bob Persechini have investigated various registration software that are anticipated to make registration simpler. Dan and Bob recommended EventBrite software to the Chapter. However, Teri Shannon noted our current software, Vertical Response, can be upgraded to provide similar services at a lower cost. The chapter agreed to pursue Vertical Response due to the lower cost and familiarity.

Stacie Suh informed the BOG that the 2014 Product Guide will be available at the Product Show.
The BOG voted to purchase a new banner for the chapter. Banner background artwork to be determined.
The BOG narrowed down candidates for event registration. The BOG will further examine which software will be better suited for the Chapter’s needs.
The BOG also discussed available positions within the Chapter for 2014 – 2015:
Siobhan Carr informed the BOG of potential community service projects with Father Bill’s. She will reach out to the past society president, Tom Watson, for assistance with chapter community service.
Student Activity Chair, Dan Diorio, will take student members to tour the Waterworks Museum in Chestnut Hill on March 27th, 3 PM.

Monthly Meeting Schedule Update – The March meeting will be a joint meeting with AEE on Thursday, March 13th by Distinguished Lecturer Thomas Lawrence on ASHRAE standard 189.1. Technical session scheduled.
Technical Tour – The BOG decided to hold the Harpoon Brewery Refrigeration Tour on Thursday, April 24th from 7-9 PM.
Webcast – ASHRAE Boston Chapter will hold a webcast on Thursday, April 17th at the office of BR+A. Teri Shannon will send notification email.
The New Product & Energy Show will be on Tuesday, April 8th at The Lantana. Jeff Schultz informed the BOG that a third of the booths have been filled.
Fundraising – The BOG voted the proceeds from the 50/50 raffles to go towards Research Promotion.
Registration Software – The registration software research committee compiled a list of potential registration software for comparison. The BOG will further examine cost and benefit of each.
The 2014 Product Guide – Deadline to submit updates to the Product Guide is February 21st. Nick Ramondo will send reminder email.

CTTC-TEGA – Mike Gilroy informed the BOG of a technology award opportunity. The BOG will consider outstanding achievements by members who have successfully applied innovative building designs for the Technology Award.
Student Activities – Dan Diorio informed the BOG the SA will hold a tour at the Chestnut Hill Reservoir.
YEA – William Tang informed the BOG that YEA for FBMS donation drive received tremendous support from members. An estimated $1400 worth of goods and cash were collected.

Meeting Schedule Update – The January meeting will be held on Tuesday, January 14th. PDH is available for Main Session.
Technical Tours - CTTC will hold a technical tour at Harpoon Brewery in conjunction with YEA in April. Date TBD.

Transportation Committee – Dan Carrington volunteered to run the Transportation Committee. The main objective of this committee is to help members without a car to find ways to attend meetings.
Committee Updates
Research Promotion chair Steve Nicholas explained the benefits of research promotion, a vital source to publish ASHRAE standards.
Student Activity chair Dan Diorio will set up a meeting with the scholarship recipient and will inform the BOG once the date has been confirmed.
YEA chair William Tang informed the BOG that YEA attended a technical tour at the BROAD Institute on December 11th. A holiday gathering took place afterwards. William Tang also informed the BOG that YEA has received tremendous response from members to support FBMS.
The New Product & Energy Show – February will be the deadline to update the Product Roster which will be published prior to the show in April. The show will include a Smoke Control seminar.
The scholarship application will be available on the ASHRAE Boston website. Disbursements will be made at the beginning of the second semester. Teri Shannon will post the scholarship application on LinkedIn to reach a wider audience.
BOG has been informed that emails for meetings have gone into junk mail or have been disregarded due to the email not being sent from a personal email account. Teri Shannon will change the email format.

ASHRAE President – William Bahnfleth, PhD, attended the Boston Chapter November BOG meeting, his first local chapter visit. He thanked the Boston Chapter BOG for volunteering their time and effort to make the Boston Chapter successful. He also explained the purpose of his visit is to promote membership and chapter support from society through strategic planning.
Meeting Schedule Update - December meeting to be joint meeting with ASPE on Tuesday, December 10. March meeting date has been changed to Thursday, March 12 due to hotel booking conflict.
New Chapter Banner - Bill Garvey will continue to pursue replacing the chapter banner.
Supplemental Fundraising - The BOG has approved the implementation of supplemental fundraising measure at the monthly meetings. Teri Shannon to create a list of potential methods to be voted on.
Publicity Chair – Brian Marman had to resign as the Boston Chapter Publicity Chair, Mark Leonard was appointed in his place.
BOG Position – Brian Marman had to resign from his BOG position; Siobhan Carr was nominated & elected by the Boston Chapter BOG.
Carpool to Meetings - Teri Shannon to start a transportation committee to coordinate potential carpools to the monthly meetings.
Technical Sessions - The BOG voted not to have the technical session on a monthly basis. The Boston Chapter will hold technical sessions to compliment the main meeting subject and will pursue PDH credits through ASHRAE.
Meeting Reservation – Jim Liston to explore available meeting reservation services to streamline meetings reservation process. Future meeting reservations to be complete online.
Committee Reports:
Dan Diorio compiled a list of committees to generate interest and encourage participation. Response has been positive.
Student Activities introduced a new ASHRAE student chapter – Benjamin Franklin Institute.
YEA will collect donations for Father Bill’s & MainSpring - a non-profit organization that helps people who are homeless or at risk.

Region I DRC - Joe Furman, Region 1 Director, thank the Boston Chapter BOG for volunteering their time and effort that has gone into making the Boston Chapter successful. Joe explained the purpose of his visit is to check on chapter operation and meeting protocol, give and take ideas, and get an overall idea about how the chapter.
Meeting Topics - Teri Shannon reviewed the meeting topics for the remainder of the year and mentioned that all meeting topics/speakers are now confirmed.
Chapter Banner - Bill Garvey is still working to have the chapter banner replaced.
Grassroots Committee – The Grassroots Committee has been formed and Steve Rosen is the Chair. Paul Hanbury and Bill Garvey will also assist on this committee. The committee has a 10/15 deadline to forward local government contacts to the RVC.
Technical Sessions – The technical sessions (October on CFD) will continue to compliment the main meeting topic. The November Tech Session topic is still TBD. It was noted that the Tech Session presentations should be reviewed ahead of time for proprietary content, etc.
Publicity Chair and BOG position opening – Brian Marman had to resign from the Boston Chapter Publicity Chair and vacate his BOG position. Mark Leonard (a chapter member has come forward to volunteer to the chair the committee. Given that the Boston Chapter exceeds the minimum number of BOG members, there is no immediate need to replace Brian.
Committee Reports - Dan Diorio intends to send an email to all Chapter members to promote participation in our existing committees. The email will briefly highlight each committee in an attempt to have some members come forward, perhaps filling some of the vacant committee openings.

Community Reach out Team
National society president Tom Watson’s message is to reach out to our community to let people know who ASHRAE is. The team, consisting of Jim A, Pat Duffy, Steve Nicholas and Stacie Suh, is working together to reach out the local community.

Scholarships
ASHRAE Boston Scholarship Chair Pat Duffy presented a scholarship to one recipient at the March meeting. The checks were sent out to four $500.00 scholarship recipients who could not make it to the meeting.
Redesign of Boston Chapter Website
ASHRAE Boston Webmaster Steve Rosen is working with the web designer to redesign the website to make it a user friendly site for members.
Product and Roster Guide
The announcement for the 2013 Product and Roster guide will be made in the April newsletter and also an e-mail will be sent out to members. The committee consists of Teri Shannon, Dan Diorio and Stacie Suh. Newest addition to the committee is Dan Denisi.

Redesign of Boston Chapter Website
ASHRAE Boston Chapter Webmaster, Steve Rosen, is working with the website designer to redesign the website to make it a user friendly site for members.
Product and Roster Guide
The committee will setup a conference call to discuss the 2013 roster and product guide. The committee consists of Teri Shannon, Dan Diorio and Stacie Suh. Newest addition to the committee is Dan Denisi.
New Student Chapter
ASHRAE Boston Student Activities Committee Chair Dan Diorio is working with Steve Nicholas to setup Benjamin Franklin Institute of Technology to be part of Boston student chapter.
Community Reach out Team
National Society President Thomas Watson’s message is to reach out to the community to let people know who ASHRAE is. The team consists of Jim Armstrong, Pat Duffy, Steve Nicholas and Stacie Suh and is working together to reach out to the local community. The team is looking for volunteers.
Evaluation Report
The chapter has received 15 responses from the members who attended the meeting. ASHRAE Boston CTTC Committee Chair Paul Hanbury will be sending the evaluation forms to members a few days after the actual meeting date.
YEA
Will Tang, YEA member, will be attending the YEA Leadership Weekend which will be held in Vancouver, Canada. ASHRAE Boston Chapter fully supports YEA members.
Hall of Fame
The Hall of Fame application has been sent out to all members. The due date is March 1, 2013.

ASHRAE Boston Product Show Committee Chair Jeff Schultz has reserved the spot for the Product Show. Bill Garvey is the co-chair for the 2014 product show.
ASHRAE Webcast Tentative Program
Assessing Building Energy Performance: From Principles to Practice webcast will be held on April 18, 2013 from 1:00 PM to 4:00 PM. ASHRAE President Thomas Watson will give the opening remarks.

Financial Report :
Bill Garvey reported the financial information for the CRC/Gala event that was held in August of 2012.
Product and Roster Guide:
A conference call will be setup before the next meeting. Dan Denisi is part of the committee with Teri Shannon, Dan Diorio and Stacie Suh.
New Student Chapter:
Benjamin Franklin Institute of Technology has requested to be added as a new Student Chapter. BOG agreed with adding this school as the 6th local Student Chapter. The Chapter President will follow-up with the school to start the process of getting the school onboard to be the next addition to Boston Chapter Student Chapter.
Reservation Software
The Chapter is actively looking into software that will help the Chapter with the reservation process.
Northeast Building & Facilities Management Show & Conference 2013
The 8th annual NEBFM show and conference will be held on June 12th and 13th at Boston Convention and Exhibition Center. The ASHRAE Boston chapter will have a booth at the show. Dan Denisi (Membership Committee Chair) and Teri Shannon (President Elect) will be at the booth.

2012 Region 1 CRC & Anniversary Gala – Boston
The 2012 Region 1 CRC & Gala fund-raising campaign has come to a close. The CRC committee is now focused on all of the various logistics of the event. Entertainment is being booked and activities are being planned. Amenities are planned for the hotel hospitality suite.
2012 New Product & Energy Show
Jeff Schultz has 21 booths remaining to be sold out of the 104 available for the 2012 New Product & Energy Show. Dan Diorio will be looking for student members to help out at the show as well as exhibit their own school projects. During the show, there will also be (4) technical seminars that have pending PDH points available.
Boston Chapter Hall of Fame
Nominations have come through for election into the Boston Chapter ASHRAE Hall of Fame. The Board of Governors has voted unanimously in favor to induct the nominated individual. Induction will take place at the October meeting.

February Meeting Logistics
The February meeting marked the 100th Anniversary of the Boston Chapter of ASHRAE – to the exact date. During the meeting prior to the Main Program, the BOG discussed and reviewed the special events that would take place that evening to commemorate the occasion (recognition of Past Presidents, chapter history look-back, photo session, and the champagne toast).
2012 Region 1 CRC & Anniversary Gala – Boston
Fund-raising has concluded for the 2012 Region 1 CRC and the 100th Anniversary Gala. The next planning committee meeting will be held shortly. Formal invitations will be sent from the Boston Chapter to local manufacturers representatives, contractors, and consultants by the end of March. Invitations will also be extended to local dignitaries and trade associations.
2012 New Product & Energy Show
Jeff Schultz has been selling local manufacturers representatives booths and parking lot spaces for large local manufacturers representatives product display vehicles. Approximate 1/3 of the product booths have been sold. It has been determined that there will only be (4) educational seminars for the 2012 event.

Research Promotion
Research Promotion has raised and sent a total of $8,320 to Society to date. Fund-raising from the 2012 CRC and Gala, slated for Research Promotion, will be sent by March.

The February meeting will be held on Wednesday, February 8. This date marks the exact day of the Boston Chapter’s 100th Anniversary. The Chapter’s Board of Governors are planning events for the evening to commemorate the special occasion.
Boston Chapter Hall of Fame
The Boston Chapter will continue the new tradition of electing local ‘legends’ of the industry into the Boston Chapter ASHRAE Hall of Fame. An e-mail to the Chapter members will be sent inviting 2012 nominations. Elected members will be inducted in October. The process will fall under the responsibility of the President-Elect.

Research Promotion
Research Promotion Committee Chair, Bill Garvey, provided the Officers and Board of Governors with an update as to where the committee stands with reaching 30% of the fund-raising goal by December 31, 2011.
2012 Region 1 CRC & Anniversary Gala – Boston
Bill Garvey provided an update on the fund-raising that has taken place for the 2012 Region 1 CRC and the 100th Anniversary Gala. Profits from the fund-raising will go toward the cost to run the events, therefore, keeping the registration costs as low as possible. All sponsors will have their company name and sponsorship level displayed on the overhead screen at all monthly meetings.

Research Promotion
Research Promotion Committee Chair, Bill Garvey, reminded the group that he would be presenting commemorative coins to the corporations donating over $150. The coins were presented during the November Main Program. Bill Garvey provided an update on his R & P ‘call campaign’. The first milestone deadline where a certain percentage of donations must be achieved is December 15.

Darcy Carbone provided an update on the advertising campaign. She mentioned companies that have purchased ticket bundles to the Gala, New Product & Energy Show, the Golf Outing, etc.

2011 – 2012 Main Program Meeting Schedule
Each monthly meeting has a ‘Meeting Manager’. The Meeting Manager is a member of the Board of Governors that is responsible for certain meeting logistics (transportation for lecturers, projectors and presentation equipment, PDH points, etc.). All Meeting Managers have now been assigned. The Distinguished Lecturer for the January meeting is close to being confirmed. Patrick Duffy is confirming the Drury Crawley will be the speaker for January.
October Meeting Logistics
Logistics for the October Main Program were confirmed. In addition to the main presentation by Howie Mckew, Patrick Duffy determined the order of all other announcements and presentations (Chapter Hall of Fame Awards, Student Night promotion, and scholarship winners).
2012 Region 1 CRC & Anniversary Gala – Boston
The 2012 Region 1 CRC which will be hosted by the Boston Chapter, continues to be a hot topic at all meetings. Darcy Carbone will be sending out Save the Date notifications as well as sponsorship forms. There will be various levels of sponsorship that will include the ability to bundle events (Gala, New Product & Energy Show, Golf Outing, etc.). The goal is to keep the registration fees affordable for incoming Region 1 chapters.
The Boston Chapter BOG will be launching an advertising campaign to sell tickets to the Anniversary Gala. The Chapter has committed to selling 700 seats to the event. The push will include contacting local engineering firms, contractors, vendors, etc. to purchase tables for the event. Contact lists will be divided amongst the BOG members.
